For the Contract Logistics Team, we are now seeking a driven and enthusiastic Logistics Assistant. Through efficient processing of all incoming and outgoing operations within predetermined time constraints, the selected candidate will provide the customer with full warehouse and distribution assistance, resulting in profitability, high quality standards, and customer satisfaction.

Principal Duties

  • Pre-alerts and customer papers for incoming shipments should be received. If necessary, upload and update the Inbound PO with the necessary details, such as the BOE number, and promptly notify the Floor In charge.
  • Create a GRN, send it to the customer with the MDN and any images (if there are any differences, such as short, excess, or damage), and close the incoming purchase order.
  • For final billing, all pertinent expenses for incoming shipments must be updated in the tracker or WMS.
  • Before sending the incoming task file to the finance department, team leader, or supervisor for final submission, make sure it includes all pertinent papers, chargeable services, and expenses.
  • Upload (if appropriate) and add the necessary data to the Outbound Order. Assign outgoing orders, create a pick list, and provide it to the floor supervisor.For shipments going out, create a commercial invoice, packing list, delivery advice, and HSCODE summary. Obtain the customer’s packing list and invoice (per customer agreement). When required, prepare the customs paperwork and send it to the customer, forwarding agent, or GSC team for processing.
  • For shipments going to certain sites, such as COO, SASO, MOH, DM, MOE, IECEE, etc., follow all inspections, certificates, legalizations, and unique procedures.
  • Maintain constant communication with customer services, operations (AFRI/AFRE/OFRI/OFR/RF), and W&D, if necessary, to provide the customer with timely POD receipts and shipment status updates.After the shipment has left the warehouse, give the customer all the information pertaining to the shipment, including the airway bill number and the anticipated date of dispatch or arrival.

  • Before sending the outgoing work file to the finance department, team leader, or supervisor for final submission, make sure it includes all pertinent papers, chargeable services, and charges.
  • Make sure that job files are closed on time and sent to finance for billing.
  • After the shipment has left the factory, make sure the outbound orders are closed in the system.Compile the appropriate inbound and outgoing status reports, including pertinent timestamps, and any additional reports that the supervisor or client requests.
  • Gather exit certificates and provide them to the CDZ staff by the deadline.
  • Make sure all assigned tasks—both inbound and outbound—are completed in accordance with established KPIs and client expectations.
  • Participate in daily professional development with all necessary updates.
  • Set priorities for escalated issues and use the appropriate resources to guarantee that the right preventative and corrective measures are implemented.Make sure all allocated customers receive excellent customer service.
  • ongoing evaluation of the allocated procedures and the implementation of any improvement plan to shorten deadlines, boost output, cut down on waste, and ultimately attain a high degree of customer satisfaction.
  • Make ensuring that customers’ SWIs are set up and updated on schedule.
  • In order to track the steps taken and ensure progress, make sure that operational anomalies or failures are reported to the team leader or supervisor and escalated if needed.
  • Continue to collaborate effectively with both internal and external teams.
  • To ensure that business is handled effectively, make sure that all practices adhere to DHL standards and procedures.

Experience, Skills, and Qualifications for the Position:

  • Graduate or diploma in any field, with a preference for supply chain and freight forwarding.
  • 0–2 years of experience in supply chain management, storage, distribution, or freight forwarding.
  • fundamental understanding of free zone laws and regulations as well as UAE customs.
  • Self-driven, creative, well-organized, sincere, and proactive.
  • Effective time management.
  • Strong communication abilities.
  • the ability to solve problems.
  • Thinking analytically.
  • Knowledge of Import/Export Customs Documentation.
  • knowledgeable about WMS (preferred) and MS Office (mandatory).
